Distinguish an ordinary PDF from an official document
Printing an ordinary downloaded PDF does not turn it into an official register document. If an official version is requested, ask which paper or electronic format the recipient accepts. Forward the original wording rather than assuming that different certification terms are interchangeable.
Understand the purpose of an apostille
Within the scope of the Hague Convention, an apostille authenticates specified features of a public document, such as its signature and seal. It does not assess the company’s creditworthiness. Whether one is needed depends on the destination, applicable arrangements and intended use.
Check whether another procedure applies
An exemption or a legalisation procedure may be relevant depending on the country and document. The German Federal Foreign Office explains these procedures. Confirm the competent authority for your particular document rather than ordering on a general assumption about a country.
Confirm translation and document-age requirements
An apostille does not replace a translation. Ask about the target language, translator qualifications and whether certification endorsements must also be translated. Confirm the maximum document age accepted by the recipient. Plan the sequence from the complete written requirement.

Agree the complete request before procurement
Keep the recipient’s written instructions. Align the document, format, additional steps and delivery method before ordering. Explain any deadline in advance. Authority processing, translation and shipping are separate tasks; an ordinary PDF delivery estimate cannot be used for the whole process.
